​We are recruiting for a part-time Administrator on a fixed term contract to support the Executive Director in all aspects of the running of City Eye.

Contract: Part-time 0.5 FTE. Fixed Term, 24 months

Salary: £18,000 - £20,000 pro rata

We believe film experiences should be enjoyed by everyone and we enable this through a year-round programme of open access events. We work on specific projects with individuals, schools, arts organisations, youth services, health providers, community groups and charities. We support people to achieve their filmmaking and digital goals whatever they may be. We are documentary makers, story tellers, animators, artists.  We work with individuals, organisations and communities to explore ideas and experiences, and we share these through film and digital technology. We make films to meet the needs of the people we are working with; responding to specific briefs or more fluidly developing an approach in collaboration with our clients. We engage with some groups in an immersive way; facilitating the creation of moving image that resonates with the community to which it belongs.

​At City Eye, we love film.  We are dedicated to the promotion and development of film and digital culture in the region. We run a programme of film events throughout the year and we present an annual festival which is packed full of screenings, talks, workshops and competitions. We also celebrate, through all our work, the transformational process of filmmaking; the learning and development of the individuals we work with, their participation and personal achievement. 

The Role

The part-time administrator will work closely with the Executive Director to ensure efficient day-to-day operation of City Eye and the smooth delivery of wider projects and activities.
City Eye shares a building with John Hansard Gallery (part of the University of Southampton) at Studio 144 in Southampton city centre and the role is mostly office-based. Some flexibility of working environment and schedule is required, however, as there may be off-site work as well as some evening and weekend work required, particularly during project delivery and City Eye's annual film festival, Southampton Film Week
Core hours to be agreed. 20 days holiday per annun pro rata (plus bank holidays)

Job Description - Main Duties

  • Managing City Eye's reception/welcome desk and answering phone-calls, email enquiries and greeting visitors appropriately
  • Front of House duties to include ensuring the City Eye hub is kept presentable, welcoming and displays remain interesting and relevant
  • ​Setting up and monitoring systems to ensure the smooth running of the office
  • Liaison with John Hansard Gallery regarding building, including general procedures and more specific room hires and use of space
  • Book-keeping – including petty cash, expenses, processing invoices
  • Setting up and taking minutes at external and internal meetings including Board meetings
  • University administration – liaison with University of Southampton departments as appropriate, ensuring any university-specific paperwork is managed effectively
  • Event support, including film school, screenings and workshops as required and particularly during City Eye’s annual film festival, Southampton Film Week
  • Event bookings system management – Eventbrite and liaison with external box offices, eg those of our event partners
  • Delivery of a regular newsletter, some website management and contributing to social media presence
  • Ability to positively represent City Eye as required in all settings including at meetings and forums  
  • Other duties that align with nature and level of this post.​

Person Specification

The Administrator is a key role in the delivery of City Eye’s activity and organisational development
The right candidate will have a proactive, self-motivated approach to work, exceptional communication skills and a passion for organisation and accuracy
The candidate will be comfortable with a range of interactions, they will be able to represent City Eye professionally and be able to form appropriate relationships with a range of stakeholders
Some experience of working within the creative sector is useful but not essential.
